This policy explains how Digitool uses personal information when you visit our website, ask for a lead plan, book a call, buy a service or work with us. It also explains your choices and rights.

1. Who we are

Digitool is a trading name of Daisy Leaf Ltd, company number 11184040. Daisy Leaf Ltd is the controller responsible for personal information used for our own business purposes.

2. Information we collect

Depending on how you use the site or our services, we may collect:

  • your name, business name, email address, telephone number, postal address and postcode;
  • information about your trade, services, coverage area, selected radius, advertising budget, package choices and add-ons;
  • appointment details, enquiries, emails, call notes and other communications with us;
  • lead, call, job, quote, won or lost outcome and CRM information supplied while we provide a service;
  • billing information, payment status, provider references, invoices and transaction records;
  • marketing preferences and records of the consent choices you make; and
  • device, browser, page-view, referral, advertising attribution and similar technical information when the relevant optional cookies are accepted.

Stripe and GoCardless collect payment-card or bank-account details through their secure services. We receive information needed to confirm and administer the payment, but we do not receive or store your complete card or online-banking credentials.

3. How we collect it

We collect information directly from you when you use our calculator, request a plan, book a call, complete the Get Started form, make a payment, contact us or use our CRM system. We may also receive information from your staff, your customers or leads, referral partners, payment providers and the advertising, CRM, booking or analytics services used to deliver our work.

We collect website usage and advertising information only as allowed by your cookie choices. Please read our Cookie Policy for details.

4. Why we use information and our lawful bases

  • To respond to you and prepare a lead plan: to take steps you request before entering into a contract and for our legitimate interest in answering genuine business enquiries.
  • To provide and manage services: because it is necessary to perform our contract, including building and managing campaigns, landing pages, CRM access, calls, forms, reporting and support.
  • To take payment and keep business records: to perform our contract, comply with legal and tax obligations, prevent fraud and manage our business.
  • To communicate with you: to perform our contract and for our legitimate interests in customer service, account management and improving our services.
  • To keep the site and systems secure: for our legitimate interests in preventing misuse, protecting our systems and investigating problems.
  • To measure and improve the site: with your consent where analytics cookies or similar technology are required.
  • To measure and personalise advertising: with your consent where advertising cookies or similar technology are required.
  • To send optional marketing: with your consent where you choose to receive tips, case studies or offers, or where another lawful direct-marketing basis applies and the law permits it.

Our legitimate interests are running and protecting the business, responding to customers, improving our services and promoting them in a proportionate way. We consider the effect on the people involved before relying on those interests.

5. Marketing choices

Marketing emails are optional. If you opt in, you can unsubscribe using the link in an email or contact us at any time. Withdrawing consent does not affect use of your information before you withdrew it. Service messages, payment notices and replies to requests are not marketing and may still be sent when needed.

6. Who we share information with

We share only what is reasonably needed with providers and advisers that help us operate, including:

  • HighLevel and LeadConnector for CRM, forms, booking, communications and workflow automation;
  • Google for consented analytics, advertising measurement and advertising personalisation;
  • Stripe and GoCardless for secure payment processing and payment administration;
  • Mapbox and postcode or population-data services when generating a requested coverage map or area estimate;
  • YouTube when you choose to load and play a video;
  • website hosting, email, communications, security and IT service providers;
  • professional advisers, accountants, insurers and regulators where necessary; and
  • other companies in the TwoD Group where they provide genuine technical, operational or professional support.

We may also disclose information if required by law, to protect legal rights, or as part of a business sale or reorganisation subject to appropriate confidentiality arrangements. We do not sell personal information.

7. Client lead and CRM information

Our role can differ depending on the information and service. We act as controller for information used to manage our own enquiries, clients, campaigns, accounts and legal responsibilities. Where we handle a client’s customer or lead information only on that client’s documented instructions, the client is normally the controller and we act as its processor. Those arrangements are also governed by the relevant service agreement.

Clients must use CRM and lead information lawfully, limit access to authorised staff and avoid adding information that is not needed.

8. International processing

Some providers may process information outside the UK. Where UK data-protection law requires it, we use providers and arrangements that offer an appropriate safeguard, such as an adequacy regulation or approved contractual protections. You can contact us if you would like more information about safeguards relevant to your information.

9. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose collected, including providing a requested plan, managing an enquiry or contract, meeting tax and accounting duties, resolving disputes, enforcing agreements and maintaining security.

The exact period depends on the type of record. Client, transaction and contract records may be kept for the period required by law and while legal claims could arise. Enquiry records are reviewed when no longer active. Marketing information is kept until you unsubscribe or we no longer have a valid reason to use it. Cookie preferences are normally kept for about six months, as explained in our Cookie Policy.

10. How we protect information

We use reasonable technical and organisational measures designed to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. These include access controls, secure providers and limiting information to people who need it. No internet or storage system can be guaranteed completely secure.

11. Your data protection rights

Depending on the circumstances, you may have the right to ask us to:

  • give you a copy of your personal information;
  • correct information that is inaccurate or incomplete;
  • delete information;
  • restrict how information is used;
  • provide certain information in a portable format; or
  • stop processing based on legitimate interests, including objecting to direct marketing.

You can object to direct marketing at any time. Where we rely on consent, you can withdraw it at any time. Some rights are subject to legal conditions and exceptions. Contact hello@godigitool.com to make a request. We may need to confirm your identity before acting.

13. Estimates and automated decisions

Our calculators and emailed lead plans use selected details and previous campaign information to show estimates. These estimates do not make decisions that have a legal or similarly significant effect on you. We do not use solely automated decision-making with that kind of effect as part of this website.

14. Other websites and changes

Links or requested services supplied by other organisations are governed by their own privacy information. We may update this policy when our services, providers or legal obligations change. The latest version will be published on this page with its updated date.
